What we collect
To register and educate your child, we collect:
- Family contact details (guardian names, email, phone, address)
- Student personal data (name, date of birth, nationality, gender)
- Required documents (passport, birth certificate, prior school records, photos)
- Medical information you choose to share
- Financial records — fee payments, discounts, financial-aid requests, refunds
- Communication history (emails, messages, reminders sent)
How we use it
- Operate the school: enrolment, billing, classroom assignment, reports.
- Communicate with families about academics, finances, and school events.
- Comply with legal, accreditation, and accounting requirements.
Who can see it
Only authorized staff (Director, Admin, Registrar, Accountant, and Teachers for their own classroom) can access family data. Every change is recorded in an immutable audit log.
Where it lives
Data is stored on encrypted servers and backed up daily. Documents are stored outside the public web root and served only through authenticated requests.
Your rights
- Access — request a copy of all data we hold for your family.
- Correction — ask us to fix any inaccurate information.
- Deletion — request removal of personal data once retention obligations no longer apply.
- Withdraw consent — you can revoke optional consents (photo use, marketing, directory listing) at any time from your family record.
Consent
Each family records consent for data storage, photo use, marketing emails and directory listing. These are tracked individually with the signer's name, the date, and any expiry. Revocations take effect immediately.
